Job Description: Ophthalmology Practice Administrator
Position Title: Ophthalmology Practice Administrator
Reports To: Managing Physician(s) / Board of Directors
Position Summary
The Ophthalmology Practice Administrator is responsible for the overall administrative, financial, and operational management of a busy ophthalmology practice. This role ensures efficient daily operations, exceptional patient care, regulatory compliance, financial performance, and strategic growth. The administrator works closely with physicians and department leaders to optimize workflows, improve patient satisfaction, and achieve organizational goals. You will oversee a Surgery Center, 8 practices and a Lasik Center.
Key Responsibilities
Operations Management
Oversee daily operations of the ophthalmology practice and any satellite locations.
Develop and implement policies, procedures, and best practices.
Monitor patient flow and optimize scheduling efficiency.
Ensure high standards of patient service and satisfaction.
Coordinate facility management, equipment maintenance, and vendor relationships.
Financial Management
Prepare and manage annual budgets.
Monitor financial performance, revenue cycle, and operating expenses.
Analyze key performance indicators (KPIs) including productivity, collections, and profitability.
Collaborate with billing staff to maximize reimbursement and reduce accounts receivable.
Identify opportunities for cost savings and revenue growth.
Human Resources
Recruit, hire, train, and supervise administrative and clinical staff.
Conduct performance evaluations and support employee development.
Ensure compliance with employment laws and organizational policies.
Foster a positive workplace culture focused on teamwork and accountability.
Clinical and Regulatory Compliance
Ensure compliance with HIPAA, OSHA, CMS, Medicare, and state regulatory requirements.
Maintain accreditation and quality assurance standards.
Coordinate risk management and infection control initiatives.
Oversee credentialing and provider enrollment activities.
Revenue Cycle Management
Monitor coding accuracy and billing processes.
Work with billing teams to improve collections and reduce claim denials.
Analyze payer performance and reimbursement trends.
Support implementation of revenue cycle improvements.
Strategic Planning
Partner with physicians to develop and implement strategic initiatives.
Evaluate opportunities for service expansion and new technology adoption.
Lead operational improvement projects.
Support mergers, acquisitions, or practice growth initiatives when applicable.
Information Technology
Oversee practice management and electronic health record (EHR) systems.
Coordinate system upgrades and workflow optimization.
Ensure data security and compliance with privacy regulations.
Support technology initiatives to improve efficiency.
Patient Experience
Develop programs to enhance patient satisfaction.
Address patient concerns and resolve escalated issues.
Monitor patient satisfaction metrics and implement improvement plans.
Qualifications
Education
Bachelor's degree in Healthcare Administration, Business Administration, Healthcare Management, or related field required.
Master's degree (MBA, MHA, or related field) preferred.
Experience
5–10 years of healthcare management experience.
Minimum of 3 years in physician practice administration preferred.
Ophthalmology or surgical specialty practice experience strongly preferred.
Experience managing budgets, personnel, and operations.
Knowledge, Skills, and Abilities
Strong leadership and team management skills.
Knowledge of ophthalmology practice operations and workflows.
Understanding of medical billing, coding, and revenue cycle management.
Familiarity with EHR and practice management systems.
Financial analysis and budgeting expertise.
Excellent communication and interpersonal skills.
Strong organizational and problem-solving abilities.
Ability to manage multiple priorities in a fast-paced environment.
Knowledge of HIPAA, OSHA, CMS, Medicare, and healthcare regulatory requirements.
Preferred Certifications
Certified Medical Practice Executive (CMPE)
Fellow of the American College of Medical Practice Executives (FACMPE)
Certified Physician Practice Manager (CPPM)
Lean Six Sigma certification (preferred but not required)
Physical Requirements
Ability to sit, stand, and walk for extended periods.
